You're a real estate agent. Your week looks like this:
Total productive hours: 14 out of 50+. The rest is admin, driving, and follow-up follow-up follow-up.
Most agents solve this by hiring a part-time assistant ($1,500–$2,500/mo) or burning out. But in 2026, the AI stack replaces the assistant for a fraction of the cost — and never calls in sick.
This workflow automates the parts of real estate that aren't actually about real estate: lead capture, nurturing, listing prep, market analysis, and follow-up. You keep the client-facing, relationship-building, deal-closing work. AI does everything else.

Total monthly tool cost: $0–$53/month.
What it replaces: A part-time admin assistant ($1,500–$2,500/mo), a marketing VA ($800–$1,200/mo), and a transaction coordinator ($500–$1,000/deal).
Most agents lose leads because they take too long to respond. The data is brutal: responding within 5 minutes makes you 21x more likely to qualify the lead than responding after 30 minutes.
The problem is you can't be at your desk 16 hours a day. AI can.
Build this n8n workflow (download the template at the end of this article):
Sources (choose what applies):
The n8n pipeline:
Source (webhook) → Parse lead data → Google Sheets (log)
├─→ Perplexity: Enrich with property details
├─→ Claude: Generate personalized response
└─→ Calendly: Check availability → Send scheduling link
→ Send SMS (Twilio) + Email (SMTP)
When a lead comes in for a specific property, Perplexity automatically researches:
Research this property for a buyer lead:
Property address: [ADDRESS]
Lead name: [NAME]
Lead interest level: [HOT/WARM/COLD]
1. Pull recent comparable sales in the area (last 3 months)
2. Check price history of this property
3. Find neighborhood highlights: schools, transit, restaurants
4. Identify any red flags: pending litigation, HOA issues, flood zone
5. Generate 3 talking points for the first conversation
This enrichment happens automatically within 30 seconds of the lead coming in. When you pick up the phone, you already know more about the property than the buyer does.
Claude generates a personalized response for each lead:
Write a brief, warm response to a real estate lead.
Lead details:
- Name: [NAME]
- Interested in: [PROPERTY ADDRESS or AREA]
- Lead type: [Buyer/Seller]
- Source: [Zillow/Website/IG/Referral]
Tone: Professional but warm. Not salesy.
Goal: Move to next step (showing for buyers, CMA for sellers).
Keep it under 100 words.
Include:
1. Acknowledgment of their interest
2. One specific detail about the property/area they asked about
3. A clear next step (with Calendly link)
4. Your name and phone number
Listing descriptions shouldn't take 45 minutes each. With the right prompt, Claude writes better copy in 45 seconds.
Write a listing description for a [BEDROOMS]BR/[BATHROOMS]BA [PROPERTY TYPE] at [ADDRESS].
Asking price: $[PRICE]
Square footage: [SQFT]
Key features (paste listing sheet):
[FEATURES]
HOA fees: $[AMOUNT]/mo
Year built: [YEAR]
Unique selling points: [e.g., "south-facing balcony", "renovated kitchen", "walk to metro"]
Generate 3 versions for different platforms:
VERSION 1 — MLS (Professional, factual, SEO-optimized, 250 words):
VERSION 2 — Social Media (Hook-driven, emoji-friendly, 100 words):
VERSION 3 — Email Blast (Story-led, emotional, 150 words):
For each version, highlight:
- The best ROI feature (what gives this property its value)
- The lifestyle angle (who would love living here)
- The urgency factor (why act now)
Once the listing is live, generate a week of social media content:
Create a 7-day social media content plan for this new listing:
Property: [ADDRESS], [PRICE], [KEY FEATURES]
DAY 1 (Listing Live): "Just listed!" post with best photo
DAY 2 (Feature Focus): Highlight kitchen/master bath
DAY 3 (Neighborhood): Best coffee shops, parks, schools nearby
DAY 4 (Market Insight): Price per sqft comparison with neighborhood average
DAY 5 (Virtual Tour): "Walk through" video or slide carousel
DAY 6 (Testimonial): "I helped a buyer find their dream home in this neighborhood"
DAY 7 (Open House): "See it this Sunday" with Calendly link
For each day, generate:
- Caption (100-150 words)
- 5 relevant hashtags
- Best photo type (exterior/interior/detail/aerial)
Then use Canva Bulk Create — upload your content plan as a CSV and generate all 7 social media graphics in one click, using your brand kit colors and fonts.
80% of real estate leads are not ready to buy or sell today. But 80% of agents give up after one follow-up. The agents who win are the ones who systematically nurture leads until they're ready.
Build this in n8n (using the SMTP + Twilio nodes):
| Day | Touchpoint | Content | Tool |
| Day 0 | Welcome + Value | "Here are 3 things about your search area you won't find on Zillow" | |
| Day 3 | Market Update | "3 properties just hit the market in your price range" | |
| Day 7 | Educational | "The 5 hidden costs of home buying (and how to prepare)" | |
| Day 14 | Check-in | "Still looking? Here's what's changed in your area this week" | SMS |
| Day 21 | Testimonial | "How I helped the Smiths find their dream home in [AREA]" | |
| Day 30 | Personal | "Would you like me to set up a custom search?" — Human call | Phone |
For each email in the sequence, use Claude:
Write a follow-up email for a real estate lead.
Lead: [NAME]
Interest: [AREA or PROPERTY TYPE]
Days since first contact: [NUMBER]
Last interaction: [NOTES]
Email purpose: [Market Update / Educational / Check-in / Testimonial]
Guidelines:
- Don't sound like a template. Reference something specific from our last interaction.
- Provide value first. The CTA should feel like the natural next step, not a sales pitch.
- Keep it to 3-4 short paragraphs. Mobile-friendly.
- Include one specific data point (new listing, price change, market stat).
Empty rooms sell for less. Staged homes sell for 5-10% more on average. But physical staging costs $1,500–$5,000 per property.
Take a photo of an empty room and describe it to DALL-E 3:
A bright, modern living room with:
- Light beige walls and white trim
- A light gray fabric sofa facing a natural wood coffee table
- A cream area rug under the coffee table
- Floor-to-ceiling beige curtains on the window
- One large leafy plant in the corner
- Warm indirect lighting
- A abstract painting on the wall
- Style: Modern farmhouse, warm and inviting
Generate 3 variations of this room with different furniture arrangements.
DALL-E 3 generates photorealistic staged versions. Download, overlay on the original photo (Canva does this in 30 seconds), and you have a staged listing photo for $0 in materials.
For virtual tours, pair your Matterport or iPhone scan with AI-generated narration:
Write a 2-minute narrated walkthrough script for this property:
[PASTE PROPERTY DETAILS]
The tour should cover:
1. Curb appeal & entrance (15 sec)
2. Living areas (30 sec)
3. Kitchen & dining (25 sec)
4. Bedrooms & baths (25 sec)
5. Outdoor spaces (15 sec)
6. Closing & CTA (10 sec)
Each section should highlight one surprising or delightful detail.
Tone: Enthusiastic but professional, like a knowledgeable friend showing you around.
The Comparative Market Analysis (CMA) is the most time-consuming regular task for agents. It's also the most formulaic — making it perfect for AI.
I'm a real estate agent preparing a CMA for [ADDRESS], a [BEDROOMS]BR/[BATHROOMS]BA [PROPERTY TYPE] in [NEIGHBORHOOD], [CITY].
Research and return:
1. RECENT SALES: Find 5-8 comparable properties sold in the last 3 months within 0.5 miles. Include: address, sold price, sqft, bed/bath, days on market, sale date
2. ACTIVE LISTINGS: Find 3-5 active competitor listings. Include: asking price, days on market, any price reductions
3. EXPIRED LISTINGS: Find 2-3 that didn't sell. Include: original price, final price, days on market
4. NEIGHBORHOOD TRENDS: Median days on market, average $/sqft, inventory levels (increasing/decreasing)
5. ADJUSTMENTS: Based on the subject property's condition, upgrades, and location vs comps
Once Perplexity returns the data, paste it into Claude:
Based on this comparable market data, help me determine a pricing strategy:
[DATA FROM PERPLEXITY]
Generate:
1. RECOMMENDED PRICE: Suggested list price with rationale
2. PRICE RANGE: Low-to-high range with confidence levels
3. POSITIONING: Should we price at market, slightly above, or slightly below? Why?
4. TIMELINE: Expected days on market at the recommended price
5. PRICE REDUCTION STRATEGY: If no offers in 2/4/6 weeks, what adjustments?
6. SELLER COMMS: Key talking points to present this to the seller (3 bullet points)
You now have a complete CMA that would take 2-3 hours to produce manually — done in 15 minutes. Present it in Canva using a CMA template (search "CMA report" in Canva templates).
The period between offer accepted and closing is where deals fall apart. A simple tracking system prevents this.
Set up a Google Sheet with these columns:
| Column | Purpose |
| Property Address | Primary key for the deal |
| Buyer/Seller Names | Who you're representing |
| List Price / Offer Price | Financial tracking |
| Status | Under Contract / Inspections / Appraisal / Clear to Close / Closed |
| Key Dates | Offer date, inspection deadline, closing date |
| Contingencies | Finance, inspection, appraisal status |
| Next Action | What needs to happen next |
| Notes | Anything the AI should know for follow-up |
I have a transaction pipeline with these active deals:
[PASTE YOUR GOOGLE SHEETS DATA]
For each deal, identify:
1. RISK: What could go wrong this week? (inspection issue, financing delay)
2. ACTION: What's the most important thing I need to do today?
3. TIMELINE: Are we on track for the closing date?
4. COMMS: Who needs a call/email this week?
Format as a priority-ordered to-do list for the week.
After implementing this workflow:
Time saved: 15-20 hours/week. Time you redirect to:
For high-end properties ($1M+):
If you're just starting out or joining a team:
For commercial real estate:
Start with Step 2 (listing copy) and Step 5 (market analysis). These are useful even without an automated lead system. Build the lead capture when you have a consistent source of inquiries.
Claude has a "custom style" feature in Projects. Feed it 5 of your best past listing descriptions or emails. It will learn your voice and match it in future generations. Or add a line to your prompts: "Write this in the style of [AGENT NAME]: warm, authoritative, with a touch of humor."
Start manually. The prompts and templates above work as copy-paste from Claude. Once you're comfortable with the results, then automate the delivery with n8n. The content is the hard part — and AI handles that.
Always verify Perplexity's comp data against your MLS. AI is excellent at compiling and analyzing data, but your MLS is the source of truth. Use the AI analysis as your first draft and sanity check, not your final pricing decision.
Many brokerages are updating policies. In the meantime, use AI for prep work (listing descriptions, market analysis, email drafts) and add your personal touch before sending. AI as an assistant is rarely restricted — AI as the sole communicator is what regulators are watching.
Real estate is still a relationship business. That's not going to change. But the agents who are winning in 2026 are the ones who use AI to scale their relationships — responding faster, providing more value, and staying top-of-mind with more leads than humanly possible alone.
| Before AI Stack | After AI Stack |
| 30+ minutes to respond to a lead | Instant auto-response + personalized enrichment |
| 45 minutes per listing description | 45 seconds |
| Manual follow-up that fades after 3 days | 30-day automated nurture sequence |
| $1,500/mo for a part-time assistant | $0–$53/mo for the AI stack |
| 1 CMA takes 2-3 hours | 15 minutes |
| Empty room photos sell for less | Virtual staging for $0 |
The agents who win are not the ones with the biggest marketing budget. They're the ones who respond fastest, follow up most consistently, and provide the most value per interaction. AI scales all three.
